Privacy Policy

1. What data we collect
When you create an account we collect:
- Your chosen username and email address
- Your full name (optional)
- Social media profile links you choose to provide (website, Instagram, SoundCloud, Spotify, Facebook)
- A short biography (optional)
- Profile photographs you upload
When you upload audio content we store the original WAV file, processed audio files (Opus/WebM, AAC M4A), optional video files, and associated metadata (title, description, release year, label, format).
When you submit or publish articles we store the article text, any attached images or PDF files, and the submission date.
2. How data is stored
All account data is stored in a MySQL database on our server. Audio and media files are stored on the server filesystem. Passwords are stored as salted hashes (PBKDF2) and are never stored in plain text.
We do not use third-party analytics services. We do not sell or share your personal data with third parties.
3. Your right to erasure
You may permanently delete your account at any time from your profile settings. Deleting your account removes your personal data, profile images, and uploaded audio pieces. Articles you have published will be anonymised (your name removed) rather than deleted, in order to preserve the integrity of the archive.
If you require complete removal of all associated content, please contact us directly at the address below.
4. Cookies
We use a single session cookie to keep you logged in. This cookie is set only when you sign in and is removed when you log out or close your browser session. We do not use advertising cookies or third-party tracking cookies.
5. Third-party services
We load fonts from Google Fonts and use cdnjs.cloudflare.com to serve Bootstrap and Font Awesome CSS/JS. These requests may log your IP address as part of standard web server logging on those platforms.
If you sign in with Microsoft (where configured), your identity is verified by Microsoft's OAuth service. We receive only your name, email address, and a unique Microsoft account identifier.
Transactional emails (e.g. article approval notifications) are sent via MailerSend where configured. Your email address is used solely for this purpose and is not shared further.
6. Contact
For privacy-related enquiries or requests for data deletion, please use the contact page or email the site administrator directly.
